Prefer 1-2 years post High School studies in English, writing skills, secretarial school. Must have valid CA Drivers License, reliable transportation & the appropriate vehicle insurance. Bilingual in English and Spanish required. a) Three years administrative/secretarial experience. b) Ability to express self effectively orally and in writing. c) Ability to work independently, engage in problem solving and demonstrate creative thinking skills. d) Have documented skills in computer systems and software; specifically, Word, Windows, Excel; Harvard Graphics, SPSS-PC, Desktop Publishing, program installation and FAX modem technology. e) Must be able to input data at relatively high speed, and use grammar and spell-checking software and any other mechanism to ensure quality output. Responsibilities Organizes and maintains all files (paper and electronic) of the persons supported. Establishes and maintains relevant computerized databases, as appropriate. Completes correspondence and memoranda, as required. Types and/or transcribes reports and correspondence in a timely and accurate fashion, as required. Assists with data entry and reporting tasks, as directed. Coordinates schedules, coordinates meetings and makes travel arrangements as required. Arranges for lunches and refreshments for meetings as necessary and ensures that meeting sites are prepared, and then tidies up following the meeting(s). Assists in administrative matters, including reception, problem-solving with departmental staff and routing of issues to other appropriate staff. Participates in departmental and other meetings, as appropriate, taking and transcribing minutes as needed, and assisting in compilation of data and ideas for grant preparation. Performs basic MIS support functions, as required, including program installation, file maintenance, and other related tasks. Becomes proficient in all applicable software programs and hardware functions relevant to the functioning of departments and programs being supported. As appropriate, provides interface with other department staff, in order to facilitate coordination at each appropriate level. Completes flyers and educational support material development, as appropriate, including assuring timely and accurate translation, as required. Transcribes memoranda, medical records, etc. for departmental providers. Completes other duties as assigned We offer a full benefits package, including paid time off, health, dental, and retirement.
